Under the supervision of the Controller, the incumbent will be responsible for assisting the foreman in the execution of tasks related to the administrative follow-up of operations. The incumbent will be responsible for performing general office work, following up on work orders in progress and compiling data in the system. She will also be responsible for processing and data entry of timesheets in accordance with Ace Mechanical Services procedures and policies.
Duties and Responsibilities:
1. Verification of timesheets and other payroll related requests
Verify the accuracy of the timesheets by ensuring that the information on the timesheets matches the internal work order and the client's request;
Ensure that employees' full days are entered into the system and verify that hours are balanced (including totals);
Ensure that the codes and work orders entered on the time sheets represent the work actually performed;
Ensure that the time sheets have been approved by the foreman;
Tracking bonuses;
Follow up on expense accounts;
Liaise between employees and the payroll department (vacation requests, expense accounts, etc.).
Enter time sheets into the system and reconcile;
Entering vouchers and transaction consumables on timesheets.
2. Project follow-up and assistance to foremen
Manage relationships, expectations, and customer satisfaction throughout the projects;
Act as a communicator between the Head Office and certain divisions at both the operational and administrative levels;
Ensure the follow-up of ongoing projects;
Assist the foreman in the preparation of billing files, file work orders and time sheets.
3. Processing of work orders
Participate in the opening of work orders according to the procedures in place if needed;
Assist the Shop Floor Planner in the final review of work orders before sending them for closing and follow up with the foreman;
Performs analysis of the accrued BT report to ensure that all BTs to be billed have been processed.
4. Other related duties
Performs document filing;
Ensure compliance with internal policies and procedures, including all occupational health and safety practices;
Respond to telephone and email inquiries and forward phone calls and messages;
Premium Management;
Expense account management;
Management of arrivals/departures (airfare, mileage reimbursement); Invoice reimbursement.

Qualifications :
Minimum of 2 years of experience working in an office environment or similar position;
Completed high school diploma or other relevant training;
Comfortable in a mechanical shop environment;
Good analytical skills and ability to manage priorities;
Versatility and organization;
Computer skills.
